North Shore Animal League America is currently seeking a Client Services Representative to provide excellent customer service to current, and potential clients of the Medical Center. Client Services Representatives act as first contact for all potential and current clients, and a liaison between our Veterinarians and their patients.
Responsibilities:
- Handle all incoming Medical Center phone calls and direct calls to appropriate parties
- Assess emergency calls received and direct them accordingly
- Check in/Check out clients
- Schedule wellness, sick, and surgery appointments, as well as visiting appointments for owners visiting their hospitalized pets
- Provide routine information i.e.: Clinic hours, verify vaccine information, spay/neuter information etc
- Create a friendly and welcoming atmosphere for all that enter our Medical Center
- Process daily paperwork, logs and records for Spay/Neuter Surgeries, including Pet Health Center
- Create, and maintain medical records, cash register and credit/check machine
- Process spay/neuter refunds
- Receive payments for surgeries, Pet Health Center, Wellness Center, and Outpatient appointments
- Copy, Fax/Mail medical records upon request
- Process care credit applications
- Call clients to confirm appointments and remind them of missed appointments
- Data entry into computer, i.e.: vaccination records, import medical records from private vets, update client information, etc.
- Assist with purging of records that will be sent to storage room; Scanning paper files into Impromed database
- Check messages daily
- Keep front office and both waiting rooms cleaned and organized; including magazine racks, pamphlets and television
- Order and stock office supplies for Pet Health and Wellness Centers. i.e.: heartworm/flea and tick preventatives
- Clean exam rooms
- Other duties as assigned
Requirements:
- Preferred 2+ years Customer Service experience in a small to mid-sized call center environment or Veterinary/Medical practice
- Exceptional Customer Service skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Working knowledge of Microsoft Office applications, Outlook, Word and Excel
- The ability to work a flexible schedule including nights and weekends
- Ability to work in a team oriented environment
- Ability to work in a fast paced, high volume, and demanding work environment
- Maintaining confidentiality to sensitive client information
- Desire to make a positive difference in the lives of animals and their owners
